The following document lays out our updated privacy notices in compliance with the new General Date Protection Regulations (GDPR) effective as of 25th May 2018.
What Personal Data We Store, Why we Store it and How it is Stored
Upon entry to the school, Miss Rebecca will take down your phone number(s), email address(es), home address(es), child’s name(s) and date of birth(s) along with any medical conditions they may have. All data is stored in documents on Miss Rebecca’s computer or the Apollo School of Dance mobile phone and not in hard copies. Any hard copies you give us are destroyed immediately after entering details into computers. Once your child has taken an exam, they are given a PIN number by our examining board: The International Dance Teachers Association (herein referred to as the IDTA) which allows them to be recognised by the institution. This PIN number along with your child’s name and date of birth is sent to us in hard copy once exam results are received. These hard copies are stored at Miss Rebecca’s home address and kept under lock and key in a filing cabinet with solo access. All information is collected for legitimate interest: it is necessary for us to extend this data to third parties as part of the business for the children to progress in their disciplines including exam and festival work.
Sharing Data
All data is only shared between Miss Rebecca and third parties who it is deemed necessary (i.e. festival organisers for those children involved in festivals, and the IDTA for exam work). All emails will be blind copied to recipients so as not to share personal email addresses and no other personal data will be shared with other parents or pupils unless we have direct consent from you, the parent, to do so for a legitimate reason. No personal data will be shared on the Facebook group: Apollo School of Dance Group (formerly the Gilmour School of Dancing Group).
All personal data will be deleted within a set time after your child’s final class at Apollo School of Dance. Please note this does not mean the date that you notify us of leaving but the last lesson your child takes part in. All personal data will be removed within three months through permanent deletion of yours and your child’s information from all documents on both computers and by blacking out their IDTA PIN, name, and date of birth on certificates received from the IDTA notifying us of examination results in hard copy. All hard copies of exam results will be permanently destroyed via shredding after five years of the date of examination session. Any photos which we may have of your child including those on the Apollo School of Dance website will be deleted five years after the date of your child’s final class. If you wish for your data and photos to be deleted sooner please email Miss Rebecca on rebecca.bodiam@gmail.com stating your child’s name and the data you wish to be deleted and every effort will be made to delete it within one week.

Summer Camp Terms and Conditions
1. Booking and Payment
A £30 deposit is required to secure your child’s place. The remaining balance will be due by a
specified date prior to the workshop, which will be shared in your confirmation email. Your
child’s place is not confirmed until the deposit has been received. Spaces are limited and will
be allocated on a first-come, first-served basis.
2. Refund Policy
In the event you need to cancel your child’s place, the following refund structure will apply:
• More than 6 weeks’ notice (before 7th July): Full refund excluding deposit
• 4–6 weeks’ notice (8th–21st July): 50% refund
• 2–4 weeks’ notice (22nd July–4th August): 25% refund
• Less than 2 weeks’ notice (from 5th August): No refund
The £30 deposit is non-refundable. Exceptions may be made at the discretion of Apollo School
of Dance in cases of illness or injury.
3. Food and Drink
Parents must provide a packed lunch and a filled water bottle each day. No food will be provided
by Apollo School of Dance. Water bottle refills will be available throughout the day. Food items
containing nuts must not be packed, due to potential severe allergies among participants.
4. Medical Information and First Aid
Full and accurate details of medical conditions, allergies, or additional needs must be provided
on the booking form. Apollo staff may administer basic first aid and will seek emergency
medical attention where necessary. Staff cannot administer prescription medication unless
previously agreed.
5. Safeguarding and Supervision
Children are under the care of Apollo staff during designated workshop hours only. Parents and
guardians are responsible for safe and timely drop-off and collection. Only named authorised
adults will be permitted to collect children.
6. Behaviour and Conduct
Apollo maintains a zero-tolerance policy toward bullying or disruptive behaviour. All children are
expected to show respect for others, staff, and property. Persistent disruptive or unsafe
behaviour may result in removal from the workshop without refund.

7. Mobile Phones
If mobile phones are brought to the workshop, they must remain in bags and be kept on silent or
switched off during workshop time. Phones may only be used during designated breaks. No
photos or videos may be taken at any time by students. If a participant is found to have taken
photos or videos, they will be asked to delete them immediately, including from the ‘Recently
Deleted’ folder. This is to protect the privacy and safety of all participants and uphold our
safeguarding responsibilities.
8. Photography and Video Consent
Photos and videos may be taken to celebrate the week and promote future Apollo events.
Parents will provide specific consent for use on social media, the website, and marketing
materials. Any child without photo consent will be excluded from promotional group images.
Rehearsal videos (for learning purposes only) will never be shared publicly and will be deleted
after the workshop.
9. Health and Safety
Hair must be tied back, and appropriate clothing worn. No jewellery (apart from small stud
earrings) may be worn. Apollo is not responsible for injuries that result from failure to follow
these rules or from actions outside our staff’s control.
10. Covid-19 or Other Illness
Children must not attend if unwell or showing symptoms of a contagious illness. If a child
shows symptoms of Covid-19, a negative test will be required before they can return.
11. Liability Waiver
While every effort is made to ensure the safety of all participants, Apollo School of Dance and
its staff are not liable for personal injury, loss, or damage to property that may occur during the
workshop, except in cases of proven negligence.
12. Parental Contact and Accessibility
Parents and guardians must remain contactable throughout each day of the workshop. Please
ensure emergency contact details provided on the booking form are accurate and current.
13. Late Pick-Up Policy
Children must be collected promptly at the end of each day. Repeated late pick-ups may result
in an additional charge or withdrawal of the place.
14. Schedule or Staffing Changes
Apollo School of Dance reserves the right to make minor changes to the schedule, staffing, or
advertised activities due to unforeseen circumstances. Parents will be notified of any significant
changes where possible.
